Terms of Service & Privacy Policy

Last updated: October 25, 2026

1. About the Service

AZZM Platform is a web platform for therapy centers to manage students, staff, programs, therapy sessions, session notes, reports, and parent communication. The platform is provided to therapy centers on a subscription basis, with a free trial for new centers.

2. Accounts

  • A center account is created by the person who signs up (the center administrator), who is responsible for creating and managing staff and parent accounts for their center.
  • Staff (supervisors, therapists) and parent accounts are created by the center administrator, not by the platform.
  • You are responsible for keeping your password secure. If you believe your account has been accessed without permission, contact your center administrator immediately.
  • Accounts may be suspended or removed for misuse of the platform, including attempting to access data belonging to other centers or users.

3. Free Trial, Subscriptions & Billing

  • New centers start with a free trial (currently 14 days). No payment information is required to start the trial.
  • After the trial, continued use requires a paid subscription, billed securely through Stripe. Plan limits (e.g., number of students) and prices are shown in the platform's pricing and billing pages.
  • Subscriptions renew automatically until canceled. Cancellation takes effect at the end of the current billing period, and you can manage or cancel your subscription in the billing portal.
  • Fees already paid are non-refundable except where required by law. If the price or plan changes, you will be notified before the change applies.
  • Parents do not pay the platform; parents use the platform free of charge via their center.

4. Your Center's Responsibilities

  • The center administrator is responsible for the accuracy of the data entered into the platform and for granting appropriate access to staff and parents.
  • The center is responsible for obtaining any consents required (for example, parental consent) to store and process student information in the platform.
  • Clinical content produced by the platform (assessment results, reports, goal suggestions) is decision support only — it requires review and sign-off by qualified professionals (e.g., a BCBA) before clinical use.

5. Your Data

  • All student, staff, and session data entered by a center belongs to that center.
  • You can export your data (e.g., reports and notes) from the platform at any time. Centers can request deletion of their center and its data by contacting the platform administrator.
  • We back up the platform data for reliability, and we will work in good faith to help you export or remove your data if you stop using the service.

6. Privacy Policy

What we collect

  • Account data: name, email, role, center name, and password (stored only as a secure hash).
  • Platform data: students, programs, sessions, trial/behavior data, notes, documents, and messages entered by authorized users of a center.
  • Billing data: subscription status and payment metadata. Card numbers are handled entirely by Stripe and never touch our servers.

How we use it

  • To operate the platform for your center, including dashboards, reports, and progress tracking.
  • To authenticate users and protect accounts (for example, password reset tokens).
  • To bill subscriptions and communicate service notices (e.g., trial ending).

Who can see what

  • Therapists see only the students assigned to them; supervisors only the students they oversee.
  • Parents see only their own child's information, and it is read-only.
  • Centers cannot see other centers' data. Platform administrators access center data only to support and operate the service.

Sharing & storage

  • We do not sell personal data. Data is stored with our infrastructure providers (hosted database, file storage, and Stripe for payments) under confidentiality terms.
  • We may disclose data if required by law, or to protect the safety of users, with the minimum disclosure necessary.

Your choices

  • You may request a copy, correction, or deletion of your personal data via your center administrator or the platform contact below.
  • Parent accounts for a child are managed by the center; removing a parent's access is done by the center administrator.

7. Changes & Contact

We may update these terms as the service evolves. Significant changes will be announced in the platform or by email before they take effect.

Questions about these terms or privacy matters: contact the platform administrator or email the support address provided with your trial invitation.
